In short
What is an AI-ready office setup?
An AI-ready office setup is a complete office IT installation, covering computers, network, accounts, storage and security, planned so that staff can use AI tools safely from the first day. Instead of adding AI later as an afterthought, each role gets the right assistant, the data it needs is organized and permissioned, and a usage policy is in place. Bit Microsystems delivers this end to end for new and existing offices in Kathmandu.
What is included
Everything needed to make it work in practice
One team covers the full job, so there are no gaps between suppliers.
Workstations and devices
Laptops and desktops specified per role, set up with the operating system, software, accounts and encryption before they reach the desk.
Network and Wi-Fi
Router, switches, access points, cabling and a guest network, with a firewall and separation between office, guest and server traffic.
Email, files and collaboration
Google Workspace or Microsoft 365 with your domain, shared drives with a sensible folder and permission structure, and calendar and meeting tools.
AI tools per role
ChatGPT, Claude, Gemini or Microsoft Copilot accounts where they pay off, a shared local AI where data is sensitive, and ready-made prompts for common tasks.
Security and backup
Password manager, two-factor authentication, device encryption, automatic backups, and a UPS for the equipment that must not go down.
Policy, training and handover
A short written AI and IT usage policy, a staff onboarding session, an asset register and documentation of every account and device.
Where it is used
Who this helps, and how
Typical situations we design for in Kathmandu and across Nepal.
A new office opening in Kathmandu
Everything from cabling to staff logins is ready on opening day, instead of being pieced together over the first three months.
A growing team that outgrew its setup
Replace shared passwords, personal Gmail accounts and files scattered across laptops with a structure that scales.
A branch or liaison office of a foreign company
A local setup that meets head-office IT and security requirements, documented in English.
An office adopting AI across departments
A planned rollout with the right license for each role, rather than staff each paying for their own tools on personal accounts.
How we work
From first conversation to a system your team uses
- 01
Survey
We visit the office, list roles and workflows, and check what you already own that can be reused.
- 02
Plan and quote
An itemized plan covering hardware, licenses, network layout and AI tools, with a clear price and timeline.
- 03
Install
We procure, configure and install, usually outside working hours so the team is not interrupted.
- 04
Onboard
Staff training, documentation and a support period for the questions that come up in the first weeks.
Is it right for you?
An honest fit check
We would rather tell you now than after you have paid for the wrong thing.
A good fit if
- You are opening a new office or branch and want it working properly from day one.
- Your team has grown and IT has become a patchwork of personal accounts and ad-hoc fixes.
- You want staff using AI, but with company accounts and clear rules.
- You would rather deal with one accountable team than several vendors.
Probably not the right choice if
- You only need a single device or a one-off repair. A local hardware shop is the right call.
- You already have a capable in-house IT team. In that case our AI consulting or training service is a better fit.

Questions
Frequently asked
Straight answers to what people ask us most about this service.
Do you supply the hardware or only configure it?
Both are possible. We can specify and source the equipment for you, or configure hardware you have already bought. If you buy it yourself, we will give you a specification list first so nothing is mismatched.
Which AI tools should an office in Nepal use?
It depends on the role and the data. Teams already on Google Workspace usually get the most from Gemini; Microsoft 365 teams from Copilot. For writing, analysis and coding, Claude and ChatGPT are strong general assistants. Where the data is confidential, we add a local AI that runs on your own server. We recommend a mix per role rather than one license for everyone.
How long does a full office setup take?
It depends on the size of the office, how much new cabling is needed and how quickly the hardware arrives. You get a written timeline with the quote, and we schedule the installation to disrupt your team as little as possible.
Can you set up payment for AI subscriptions from Nepal?
International subscriptions can be difficult to pay for from Nepal. We will advise on the payment options that work for your organization and set them out clearly in the quote, so there are no surprises at renewal.
Do you provide support after the setup?
Yes. Every project includes a support period, and you can continue on a monthly plan that covers IT support and your AI systems together.
