Automation & agents
AI agents that run whole workflows, not just answer questions.
We automate the repetitive work in your business with agents that read, decide, act across your tools, and ask a person when it matters.

In short
What is agentic AI?
Agentic AI is software in which an AI model does not just answer a question but carries out a multi-step task on its own. It reads incoming information, decides what to do, uses your tools such as email, spreadsheets, CRM and accounting software, and reports back, asking a person only when it is unsure or when approval is required. Bit Microsystems designs and builds these agents for businesses in Nepal, starting with one well-defined workflow and expanding from there.
What is included
Everything needed to make it work in practice
One team covers the full job, so there are no gaps between suppliers.
Workflow mapping
We sit with the people who do the work, write down every step and exception, and check that automating it will actually pay back.
Agent design with guardrails
A clear definition of what the agent may do alone, what needs approval, and what it must never do.
Integrations
Connections to Gmail or Outlook, WhatsApp Business, Google Sheets, your CRM, accounting software and internal databases through APIs.
Human-in-the-loop approvals
Drafts and proposed actions arrive where staff already work, to approve, edit or reject in one tap.
Logging and cost control
A record of every decision and action, usage dashboards, and spending limits so running costs never surprise you.
Pilot, then rollout
The agent runs alongside your team first. It only takes over once its results match or beat the manual process.
Where it is used
Who this helps, and how
Typical situations we design for in Kathmandu and across Nepal.
Lead handling
Read inquiries from the website, WhatsApp and email, qualify them, reply, create the CRM record and schedule the follow-up.
Accounts and paperwork
Match bills to purchase orders, prepare entries for an accountant to review, and send payment reminders.
Daily reporting
Pull sales, attendance and stock from several systems into one written summary on the manager’s phone each morning.
HR and administration
Screen applications against your criteria, schedule interviews, and walk new staff through onboarding checklists.
Compare
Traditional automation vs AI agents
They solve different problems, and the most reliable systems combine them: fixed rules for the predictable steps, an agent for the parts that need reading and judgment.
| AI agents | Traditional automation | |
|---|---|---|
| Inputs it handles | Messy, varied inputs: emails, chat messages, PDFs, photos of documents. | Fixed, structured inputs such as forms and database rows. |
| How it decides | Follows goals and guidelines, and makes judgment calls within set limits. | Follows the exact rules someone programmed. |
| When something unexpected happens | Tries an alternative or escalates to a person. | Stops or fails. |
| Predictability | Needs guardrails, logging and review to stay reliable. | Fully predictable. |
| Best for | Variable work that involves reading, writing and deciding. | High-volume steps that are identical every time. |
How we work
From first conversation to a system your team uses
- 01
Pick one workflow
We choose a process that is frequent, well understood and measurable, and agree what success means.
- 02
Prototype on real data
A working agent tested against past cases, so you see real results before committing further.
- 03
Run alongside staff
The agent proposes, people approve. We tune it until the approvals become routine.
- 04
Go live and expand
Hand over the routine cases, keep people on the exceptions, then move to the next workflow.
Is it right for you?
An honest fit check
We would rather tell you now than after you have paid for the wrong thing.
A good fit if
- A process is repeated many times a week and follows recognizable patterns.
- The inputs arrive as messages, documents or spreadsheets that someone currently reads and retypes.
- You can describe what a good outcome looks like.
- Someone on your team can review exceptions.
Probably not the right choice if
- The task happens a few times a month. It is not worth automating, and we will say so.
- The work depends on judgment nobody can explain. Agents need written rules and examples to follow.
- You want decisions with legal or financial consequences made with no human review. We will not build that without an approval step.

Questions
Frequently asked
Straight answers to what people ask us most about this service.
What is the difference between a chatbot and an AI agent?
A chatbot answers questions in a conversation. An AI agent completes tasks: it can read an email, look something up in your system, update a record, draft a reply and schedule a follow-up, across several tools and without being prompted at each step. Many real systems contain both: a chatbot at the front, with agents doing the work behind it.
Is it safe to let AI take actions in our business systems?
It is safe when it is designed properly. We give an agent only the permissions it needs, require human approval for anything involving money, customers or deletion, log every action, and start in a read-only or draft-only mode. Permissions are widened step by step as the agent proves reliable.
Will AI agents replace our staff?
In practice agents take over the repetitive part of a job, such as copying data between systems, first replies and routine follow-ups. Staff move to exceptions, relationships and decisions. We design every agent with a person reviewing its work, because that is what keeps quality high.
Which business process should we automate first?
Choose one that happens often, follows recognizable patterns, is already done on a computer, and where a mistake can be caught and corrected. Inquiry handling, data entry from documents and recurring reports are common first choices.
What does agentic automation cost to run?
There is a build cost and a running cost. Running costs are the AI model usage, which depends on how many tasks the agent handles, plus maintenance. If you run the agent on a local model, the usage cost is replaced by hardware you own. We estimate the monthly running cost before you commit to the build.
Can agents work with software commonly used in Nepal?
If the software has an API, a file export or a database we can reach, yes. Where it has none of these, we use exported files or screen-level automation, and we tell you upfront how reliable that will be.
